FLORIADE VENDOR APPLICATION

Thank you for your interest in being a food or non-alcoholic beverage vendor at Floriade. Please complete the following form and upload any required attachments. If you have any questions, you can contact us at event.vendors@act.gov.au. 

Events ACT are looking for high quality vendors to provide a wide variety of food, beverages and products for visitors to enjoy around the park.
 
It goes without saying that the food should be delicious with a wide range of dietary options available. We encourage vendors to showcase the amazing local and regional produce of Canberra and surrounds wherever possible. We are also excited to see new and innovative offerings each year.

Selection Criteria:

Events ACT will review applications and select vendors to provide a variety of products and food and beverage options for attendees.

Fair and equal consideration is given to all applicants, regardless of previous involvement in the event or similar events.

The final decision will be at the discretion of Events ACT based on the overall strategic fit to the event vision and objectives and to allow for a balanced range of offerings and price points at the event.

The following factors will be considered when reviewing applications:

  1. QUALITY AND PRESENTATION - Overall product quality, vendor display and presentation.

  2. CAPACITY TO TRADE A LARGE SCALE EVENT - Demonstrated experience in providing efficient, high volume output of products to large audiences at outdoor events.

  3. MENU VARIETY / VALUE FOR MONEY - We aim to curate an exciting range of vendors for our visitors that is unique and different. We aim to ensure patrons have a variety of options that meet diverse dietary requirements and price points. We ask that vendors consider the theme of this years event when proposing their menu offering.

  4. SUSTAINABILITY - As a part of the assessment criteria, vendors are required to outline how they operate sustainably, through packaging and products. Please refer to Page 11 of the Vendor Application Pack for all the information required on sustainability.

  5. LOCAL ECONOMIC BENEFIT - The ACT Government is committed to supporting local business and industry. In the selection process, Canberra Region organisations and businesses will be given preference to support the local industry, however, interstate vendors will still be seriously considered in the interest of creating a wide range of quality option.

  6. PREVIOUS EXPERIENCE - History with Events ACT or previous clients (referees to be provided) including:

    • timely payment of invoices
    • history of conduct and professional and courteous conduct at major events
    • compliance with Work Health and Safety requirements at previous events.

Please ensure you provide all the required and necessary documentation within your application. It is critical you ensure all relevant information is supplied as we can not assess partial or incomplete submissions.

  • Site layout diagram with dimensions and including back of house requirements, cool room, tow bars, doors, stairs and serving area

  • Menu/Product List including prices and dietary requirements
  • Public Liability Insurance Certificate of Currency
  • Workers Compensation Insurance Certificate of Currency (unless exempt)
  • Food Business Registration Certificate (unless exempt)

  • Any other licences required to sell your products

    Stall Presentation

    The professional presentation of Floriade sites is very important. It is imperative vendors and their staff present themselves and their stalls in the best possible light at all times. This requirement is of equal importance both front of house and back of house.

    Any vendors that require a marquee to trade must only do so in a marquee installed by an approved Events ACT supplier.

    Structures installed by parties other than Events ACT are not permitted.

    Food Truck/Trailer Dimensions
    Please provide the size details of the food truck/ trailer. Measurements MUST include tow bars, and any space required to allow for serving hatches and externally opening doors.
    Will you be bringing a cool room on site?
    Please note that bringing a cool room to site will incur an additional flat rate fee of $220 INC GST. Vendors are only able to bring 1 x cool room per stall.
    Do you require additional space for your trading site?
    Vendors must operate within their allocated footprint and booking a large enough site is the vendor’s responsibility.

    The size you indicate here will be your total site footprint. Please ensure you include sufficient space for your trading marquee/trailer/van as well as any additional infrastructure (eg. FOH displays, BOH storage and cool rooms). Any additional space required is to be approved by Events ACT.

    Packaging Requirements

    • All packaging/serving material provided to the public must be made from compostable, organic, biodegradable material (e.g. cardboard, paper).
    • Vendors will be required to provide details of all packaging intended to be provided to the public at the event or samples if requested to the ACT Government/its contractors at least one-month prior to the event. The ACT Govt reserves the right to request a vendor changes packaging if it is found to be unsuitable for post-processing by our waste contractors.
    • Vendors found to be serving items in breach of these requirements will not be allowed to trade until suitable items can be provided.

    A $330 penalty fee (inc. GST) may be charged after the event if:

    • Waste and packaging rules are not followed
    • Issues are not fixed when requested, or
    • The site is not returned in the original condition.

    Checks may take place during the event and after pack-down. This fee is separate from all other trading fees.

    References
    Provide contact details for two referees from previous events you have traded at. If this is your first event, please include contact details for two references. References will not be contacted without prior notice. 

    Written references can be uploaded as additional supporting documentation but are not mandatory.
    Additional Information 
    Pre-Purchased Parking Pass
    Are you interested in purchasing a parking pass for use whilst trading at the event. Please note that the cost is TBC, and full-event traders will be prioritised. Vendors who choose not to purchase a parking ticket will need to facilitate their own parking. 
    Vendor Accreditation
    How many staff passes do you anticipate needing for your staff working during the event? All staff working will require accreditation.
